Professional Portfolio

The Professional Portfolio helps members maintain excellence in the profession by promoting ongoing self-reflection and development. It is mandatory for every CMLTO Practising member to maintain a Professional Portfolio. Random audits of portfolios are conducted throughout the year.

The Professional Portfolio helps members maintain excellence in the profession by promoting ongoing self-reflection and development. It is mandatory for every CMLTO Practising member to maintain a Professional Portfolio. Completion of the Professional Portfolio is self-declared during the annual registration renewal. Random audits of portfolios are conducted throughout the year.

Every member must maintain a Professional Portfolio in order to set measurable goals toward continuous quality improvement and enhanced professional practice. Frequently asked questions

Question: What happens if I get audited?

Answer: The Professional Portfolio audit process is described below.
  1. Members are randomly selected annually from the membership database for Professional Portfolio audit.
  2. Members are notified by mail that they have been selected for Professional Portfolio audit.
  3. Members are advised to review the Professional Portfolio Guidance Documents and download the Professional Portfolio fillable PDF from the CMLTO website.
  4. Members complete the Professional Portfolio fillable PDF and submit it to the CMLTO by email or by mail. On average, members can expect to spend 5 to 10 hours completing their Professional Portfolio.
  5. A member of the Quality Assurance Team reviews the member’s professional portfolio. If further information or clarification is required, the member is contacted.
  6. Once the Professional Portfolio is complete, a summary report is emailed or sent by mail to the member, along with a Quality Assurance Pin.
  7. If the member does not complete the Professional Portfolio audit or does not respond to communications from the CMLTO about their audit, their file is referred to the Quality Assurance Committee (QAC) for further recommendations and actions.

Question: Is the Quality Assurance Program mandatory?

Answer: The program is mandatory for all CMLTO Practising members, regardless of employment status.

Question: How are members selected for audits?

Answer: Members are randomly selected annually from the membership database for Professional Portfolio audit.  

The audit criteria approved by the Quality Assurance Committee is:
  • All members who have held a Practising certificate of registration for 12 months or more are eligible for Professional Portfolio audit.
  • Members who have already been selected for Practice Review in the same calendar year are excluded.

Question: How often should members complete their Professional Portfolios?

Answer: Every member should maintain and complete the entire Professional Portfolio every year in order to set measurable goals toward continuous quality improvement and enhanced professional practice. Completion of the Professional Portfolio is self-declared during the annual registration renewal. Blank copies of the Professional Portfolio are available on the CMLTO website at www.cmlto.com under the Members & Quality Assurance area.

Question: What is the difference between the Professional Portfolio and Practice Review audit?

Answer: The Professional Portfolio audit directs members to submit their self-assessment, set goals, and complete and record a minimum of 30 hours of activity focussed on new learning. The Practice Review audit directs members to answer 25 case study questions focussed on the learning modules presented on the CMLTO website. This audit is an online assessment.

Question: How long do members have to retain their professional development records?

Answer: It is recommended that members keep their professional development records for the previous two calendar years.

Question: What happens if a member cannot meet the submission deadline?

Answer: It is recognized that sometimes members’ personal or professional circumstances do not allow them to submit their audit information by the submission deadline. In extenuating circumstances, written (e-mail, fax or letter) requests to delay the date of submission will be considered in accordance with CMLTO policy.

Question: Is the member’s employer notified when the member is being audited?

Answer: Employers are not informed when a member is being audited. The legislation requires all information collected during an audit remain confidential. This information cannot be used for other purposes, even by other CMLTO Statutory Committees.

Question: How are the submission deadlines decided?

Answer: Deadlines for submitting audit information are based on the Medical Laboratory Technology Act, 1991 and internal CMLTO Quality Assurance Committee policies.

Question: What if I don’t have enough hours to report for the Professional Portfolio?

Answer: CMLTO Quality Assurance Program staff will provide guidance in order to help the member attain the hours they require for the Professional Portfolio. In some cases, a member’s file may go before the Quality Assurance Committee (QAC) for further recommendations and actions.
